This policy explains how Silvercrest Cleaning Ltd(“we”, “us”, “our”) collects, uses and protects your personal data when you use our website or book our cleaning services, and the cookies we use. We are the data controller for that information and are committed to handling it in line with UK data protection law (the UK GDPR and the Data Protection Act 2018).

2. The information we collect

We collect the following, depending on how you use our service:

  • Enquiry and quote details — your name, email address, phone number, property address and the details you enter into a quote or contact form (such as property type, number of rooms, frequency and any add-ons).
  • Booking and service details — the address to be cleaned, access instructions you give us, your visit history and any notes relevant to carrying out the clean.
  • Payment information — card payments are processed by our payment provider, Stripe. We do not see or store your full card number; we hold only limited details such as the last four digits and a secure reference used to charge for completed visits.
  • Reviews — any rating or feedback you choose to leave, and the display name and area you consent to us showing.
  • Website and analytics data — if you consent to analytics cookies, information about how you use the site (pages viewed, device and browser type, approximate location). See the cookie section below.

3. How and why we use it

We use your information for the following purposes, each with a lawful basis under the UK GDPR:

  • To provide our services — preparing quotes, confirming bookings, carrying out cleans, taking payment and dealing with your requests. Lawful basis: performance of a contract with you.
  • To run our business — keeping records, responding to enquiries, improving our service and preventing fraud. Lawful basis: our legitimate interests in operating and improving the business.
  • To meet legal obligations — for example keeping records required for tax and accounting. Lawful basis: legal obligation.
  • Website analytics and marketing measurement — understanding how our site is used and measuring our marketing. Lawful basis: your consent, which you give (or decline) through the cookie banner and can withdraw at any time.

4. Cookies and similar technologies

Cookies are small files stored on your device. We use a tag management tool (Google Tag Manager) to load the tools below. Analytics and marketing cookies are only set after you accept themin our cookie banner — if you choose “Essentials only” they are not loaded. The tools we use are:

5. Who we share it with

We do not sell your personal data. We share it only with trusted providers who help us run our service, and only as far as needed:

  • Stripe — to process card payments securely.
  • Our hosting and email providers — to run the website and send booking and service emails.
  • Google, Microsoft and Meta — where you have consented to analytics and marketing cookies, for the measurement described above.
  • Professional advisers and authorities — where we are required to by law.

Some of these providers are based outside the UK (for example in the United States). Where data is transferred internationally, it is protected by appropriate safeguards such as the UK International Data Transfer Agreement or an adequacy decision.

6. How long we keep it

We keep your personal data only for as long as we need it: for the duration of our service to you and then for as long as required to meet our legal and accounting obligations (generally up to six years for transaction records). Enquiry data that does not lead to a booking is kept for a shorter period and then deleted. Analytics data is retained according to the settings of the tools above.

7. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct data that is inaccurate or incomplete;
  • ask us to delete your data, or restrict how we use it, in certain circumstances;
  • object to processing based on our legitimate interests;
  • ask us to transfer your data to another provider where technically possible;
  • withdraw your consent to analytics and marketing cookies at any time.

8. How we protect your data

We take appropriate technical and organisational measures to keep your data secure, including restricting access to those who need it and using reputable, secure providers for payments, hosting and email. If you are unhappy with how we have handled your personal data, please contact us first so we can put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator, at ico.org.uk.
